We are looking for Administrative Support -Sales & Account Management to provide day-to-day administrative support to our Account Executives and Sales Representatives to ensure smooth business procedures. To succeed in this role, you should be highly organized and able to perform multiple tasks for different teams/clients at the same time. Reporting to the EA to CEO and Global Administration Manager, the main purpose of this role is to ensure that day to day office administration is supported regarding:Sales & Account Manager support including coordinating data entry and reportingTravel coordination for Sales, Account Management, and New York City (NYC) staffPresident, North America administrative supportNYC office managerKey ResponsibilitiesCoordinates and implements Sales & Account Management activities with a customer-focused mindset.Track down information and update internal Sales & Account Management databases (e.g. Salesforce.com / GBS, month-end financial close files).Assist Sales & Account Management with preparation of status reports.Coordinates travel needs for Sales, Account Management, and New York City (NYC) staff, including; scheduling hotel, flight, and car rentals and prepares itineraries.Assists with visa processing and other travel related documentation.Prepare, file, and retrieve Sales and Account Management related documents, e.g. contracts, pricing proposals, trade show presentations.Coordinate meetings, calls and demos for the Sales & Account Management teamsAssist with creating materials for Sales & Account Management (e.g. presentations, social media posts), and researching information.Liaise with internal teams to ensure proper pre-and post-Sales and Account Management communications (e.g. feedback to Marketing and Product teams).Prepare regular reports for the President, Hansen North America.Maintains President's appointment schedule by planning and scheduling meetings.Welcomes NYC office guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.Maintains NYC office supplies by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.Skills and QualificationsEssentialBachelors Degree or equivalent experienceProficient in Microsoft Office and related programs3+ years Account Management CoordinationTravel logistics / coordination experienceGood interpersonal communication (both written and verbal) and customer service skills are needed in order work successfully with customers, and cross functional teamsOrganizational and time-management skills.DesirableStrong aptitude for learning new technologies and understanding how to utilize them in a customer facing environment.Works under moderate supervision.Account Management / Sales experienceSenior level Administrative support experience.Familiarity with Energy Market / Software is a plusPLEASE NOTE THAT WE WILL NOT BE OFFERING SPONSORSHIP FOR THIS POSITION.
